protecting your privacy.
This Privacy and Cookie Policy explains how VIRTUS may collect, use and protect personal
information when you visit the VIRTUS Community Hub (“Community Hub”).
The Community Hub is primarily an informational website providing visitors with
information about VIRTUS, its developments and related community information.
The Community Hub does not provide functionality for visitors to create accounts, post
comments, upload information, participate in discussions, complete surveys or submit
online forms.
The only direct method of interaction provided through the Community Hub is a contact
email address, which visitors may voluntarily use if they wish to ask VIRTUS a question.
Where VIRTUS determines how and why personal information collected through or in
connection with the Community Hub is processed, the relevant VIRTUS legal entity acts as
the data controller.

Privacy and Cookies Notice
1. Purpose
2. Information we may collect
There are two principal ways in which information may be obtained when you use the
Community Hub.
2.1 Information collected when you visit the Community Hub
When you visit the Community Hub, certain technical information may be collected
automatically by the website or the technologies supporting it.
Depending on the technologies deployed, this may include:
- your IP address;
- browser type and version;
- device type;
- operating system;
- date and time of your visit;
- pages viewed;
- referring website;
- general website usage information;
- technical security or diagnostic information; and
- information associated with cookies and similar technologies.
The information actually collected will depend upon the technical configuration of the
Community Hub and your applicable cookie choices.
2.2 Information you provide when contacting VIRTUS by email
The Community Hub provides a contact email address that you may use if you have a
question.
If you choose to contact us by email, VIRTUS may receive personal information contained
within your email, such as:
- your name;
- your email address;
- the organisation you represent, where provided;
- your correspondence with VIRTUS; and
- any other personal information you voluntarily include in your message.
You are not required to email VIRTUS in order to access the publicly available information
on the Community Hub.
We recommend that you do not include sensitive personal information in your email
unless it is necessary for us to understand or respond to your question.
3. How we use your information
Depending on the circumstances, VIRTUS may use information associated with the
Community Hub to:
- operate and maintain the Community Hub;
- maintain its security and availability;
- identify and resolve technical problems;
- understand how visitors use the Community Hub;
- improve the Community Hub and the information made available through it;
- manage applicable cookie preferences;
- respond to questions received through the published contact email address;
- maintain appropriate records of correspondence where necessary; and
- comply with relevant legal and regulatory requirements.
VIRTUS will not use information collected through the Community Hub for purposes that
are incompatible with the purposes for which it was collected without an appropriate legal
basis.
4. Lawful basis for processing
Where the information concerned constitutes personal data, VIRTUS will process it using
an appropriate lawful basis under applicable data protection legislation.
Depending upon the particular processing activity, this may include:
Legitimate interests
VIRTUS may process information where necessary for legitimate purposes such as
operating and securing the Community Hub, managing communications and responding
to questions, provided those interests are not overridden by the individual's applicable
rights and interests.
Consent
Where a particular processing activity requires your consent, VIRTUS will ask for it.
This may apply, for example, to certain cookies or similar technologies used on the
Community Hub.
Where processing relies on consent, you may withdraw that consent.
Legal obligation
VIRTUS may process information where necessary to comply with an applicable legal or
regulatory obligation.
5. Contacting us through the Community Hub
The Community Hub does not contain interactive forms or user accounts.
If you have a question regarding the information available on the Community Hub, you can
contact VIRTUS using the email address provided:
Community enquiries:
community@virtus.com
When you select the contact link, your email application may open and allow you to send
a message directly to VIRTUS.
Sending an email is entirely voluntary.
If you email VIRTUS, the information contained within your message will be used primarily
to review and respond to your enquiry and, where appropriate, manage related
correspondence.
6. Cookies and similar technologies
When you visit the Community Hub, cookies or other storage and access technologies
may be used.
Cookies are commonly used to enable or support website functionality. Other storage and
access technologies can include technologies such as tracking pixels, device
fingerprinting, web storage, scripts and tags. These different technologies fall within the
scope of the ICO's current Storage and Access Technologies guidance.
The Community Hub may use these technologies for purposes such as:
- operation of the website;
- website security;
- remembering applicable website preferences;
- understanding website usage; and
- measuring or improving website performance.
The exact technologies used should be reflected in the Community Hub's cookie
preference centre or cookie list.
7. Accepting cookies when visiting the Community Hub
When you first visit the Community Hub, you may be presented with a cookie banner or
preference mechanism.
Where a technology requires consent, VIRTUS will provide an opportunity to make an
appropriate choice before using it.
Depending on the technologies actually deployed, available choices may include:
Accept all
Selecting “Accept all” permits the optional cookies and similar technologies identified in
the cookie preference mechanism to be used.
Reject optional cookies
Selecting “Reject optional cookies” means technologies requiring your consent will not be
used.
You will still be able to view the publicly available information on the Community Hub.
Manage preferences
Selecting “Manage preferences” will allow you to review applicable categories and make
more detailed choices about optional technologies.
VIRTUS will not treat simply continuing to browse the Community Hub as acceptance of
technologies where affirmative consent is required.
The ICO's final 2026 guidance addresses when consent is required, applicable exceptions,
requesting and managing consent, technologies that should not be pre-enabled, and
record keeping for user preferences.
8. Sharing personal information
VIRTUS may use service providers to support the operation, hosting, security and
maintenance of the Community Hub.
Where appropriate, personal information may also be shared with:
- organisations providing IT or website services to VIRTUS;
- relevant VIRTUS personnel responsible for responding to an emailed question;
- professional advisers where required; or
- regulators, law enforcement bodies, courts or other authorities where disclosure is
- required or permitted by law.
VIRTUS will apply appropriate data protection arrangements where another organisation
processes personal information on its behalf.
9. How long we keep your information
VIRTUS will keep personal information only for as long as necessary for the purpose for
which it was collected, taking account of relevant legal, regulatory and business
requirements.
This includes information voluntarily supplied when emailing VIRTUS.
The retention period for cookies and similar technologies will depend on the technology
concerned and should be made available through the Community Hub's cookie
information where appropriate.
The ICO Transparency Guidance states that privacy information should include retention
periods or, where this is not possible, the criteria used to determine them.
